Privacy Policy

Effective November 4, 2026Last updated November 4, 2026

This Privacy Policy explains how Opsvian AI (“Opsvian”, “we”, “us” or “our”) collects, uses, discloses and protects personal information when you visit opsvianai.tech, request an invitation, communicate with us or use the Opsvian AI service (the “Service”).

For privacy questions or requests, contact us through the contact form and select “Other” as the topic. We read every message and reply by email.

1. Information we collect

Depending on how you interact with Opsvian, we may collect the following categories of information:

  • Contact and account information: name, business email, company name, job title, account identifiers and authentication-related information.
  • Invitation request information: company size, industry, business website, tools used, role and the operational needs you describe in an invitation request.
  • Workspace information: workspace name, membership, role, preferences, settings and administrative records.
  • Connected-service information: data made available through integrations that an authorized workspace administrator connects, such as project names, task status, task owners, due dates, document metadata, calendar details or other permitted records. The exact information depends on the integration and the permissions granted.
  • User content and instructions: prompts, questions, files, documents and information users choose to submit to the Service.
  • AI interaction and execution records: requests, generated responses, proposed actions, approval decisions, action results, timestamps and audit events.
  • Technical and usage information: IP address, device and browser details, log data, diagnostic events, pages visited and general usage information.
  • Support and communication information: messages, feedback and correspondence with our team.

2. How we use information

We may use information to:

  • Review invitation requests and manage invitation-only account access.
  • Create and administer accounts, workspaces and user permissions.
  • Provide the Service, connect authorized sources and perform user-requested tasks.
  • Retrieve relevant company context and generate summaries, recommendations or AI-assisted outputs.
  • Execute actions that users or administrators authorize, including actions subject to approval.
  • Maintain security, prevent abuse, troubleshoot errors and protect the Service.
  • Respond to questions, provide support and communicate important service information.
  • Understand usage and improve the reliability and usability of the Service.
  • Meet legal obligations and enforce our agreements.
  • Send product updates where you have opted in or another valid legal basis applies. You can opt out at any time.

3. Connected services and customer-controlled data

Opsvian connects to third-party services only when an authorized user or administrator initiates and authorizes the connection. The connected service makes information available according to the permissions selected during authorization. Workspace administrators are responsible for choosing appropriate connections and access levels.

Opsvian uses connected information to provide the functions requested by the workspace, such as operational summaries, knowledge retrieval, workload insights and approved actions. The Service respects source permissions and workspace roles. Users should not connect information they are not authorized to share.

A connected service is also governed by its own privacy policy and terms. Disconnecting an integration stops future access through that connection. Information already stored in the Opsvian workspace may remain until it is deleted under the applicable retention and deletion process.

4. AI processing

Opsvian uses AI service providers and models to process user instructions and the information necessary to provide AI features. Depending on the task, this may include user prompts, relevant connected records, document excerpts or other context selected for the request. We share only what is needed to complete the request, and we use providers under terms that restrict how they may use that information.

AI-generated outputs can be incomplete, inaccurate or unsuitable without human review. Users remain responsible for reviewing outputs and approving consequential actions. Do not submit sensitive personal information or confidential information unless your workspace is authorized to do so.

5. Workforce and team insights

Some features use operational information such as task assignments, deadlines, project status, meeting load or aggregate collaboration patterns to help organizations understand workload and operational processes. The purpose is to support better work planning and identify workflow issues.

Opsvian is not designed to secretly monitor employees, inspect private message content to infer personal traits, or make definitive judgments about an individual’s performance, engagement or intention to resign. Workspace administrators must provide any notices and obtain any consent required by law before connecting or using workforce-related information. Access to workforce insights is limited to authorized users and an appropriate, transparent purpose.

6. How we disclose information

We may disclose information to:

  • Service providers and subprocessors that host, secure, deliver, analyze or support the Service, including cloud hosting, content delivery and security, email delivery, authentication, customer support and AI model providers. They may process information only under contractual instructions and safeguards.
  • Connected services when a user or administrator directs Opsvian to retrieve information from, or perform an approved action in, that service.
  • Professional advisers such as lawyers, accountants and auditors where reasonably necessary.
  • Authorities or other parties when required by law, valid legal process, or to protect rights, safety and security.
  • Business transferees in connection with a merger, acquisition, financing, reorganization or sale of all or part of our business, subject to appropriate safeguards.

We do not sell personal information.

7. Data retention

We keep information for as long as reasonably necessary to provide the Service, manage accounts and invitations, comply with legal obligations, resolve disputes, maintain security and enforce agreements. Invitation requests and contact messages are kept for as long as needed to respond and to manage the invitation program, and we delete them on request unless we are legally required to keep them.

Retention for account data, connected-service data, AI interaction records and audit logs depends on the data type and purpose. Workspace administrators can disconnect sources or request deletion, subject to legal, security and contractual requirements.

8. Security

We use reasonable administrative, technical and organizational measures designed to protect information against unauthorized access, loss, misuse or alteration. These include access controls, permission scoping and logging of AI actions. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

9. International data transfers

Opsvian and its service providers may process information in countries other than the one where you live. Where required by law, we use appropriate safeguards for international transfers, such as contractual protections.

10. Your privacy rights and choices

Depending on where you live and applicable law, you may have the right to request access to, correction of, deletion of or a copy of your personal information, to object to or restrict certain processing, or to withdraw consent where processing relies on consent. You may also have the right to complain to a data protection authority.

To make a request, contact us through the contact form. We may need to verify your identity before responding. If your information is processed on behalf of an organization, we may direct your request to that organization as the party responsible for the workspace.

You can unsubscribe from optional product update emails using the link in the message. Service and account notices may still be sent when necessary.

11. Cookies and analytics

This website does not use advertising cookies and does not currently set analytics cookies. We use only the technical means needed to operate the site and protect its forms from abuse. If we introduce analytics in the future, we will describe them here, use privacy-conscious settings and ask for consent where the law requires it.

12. Children’s privacy

The Service is designed for businesses and is not directed to children. We do not knowingly collect personal information from children. Contact us if you believe a child has provided personal information to us.

13. Third-party websites and services

The Service and this website may link to third-party websites or services. We are not responsible for their privacy practices. Review the applicable privacy policy before providing information to them.

14. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. We will update the “Last updated” date and provide additional notice when required by law. The updated policy applies from its effective date.
